Unit price per part, Sep ’25 to Aug ’26, indexed to 100 at the first purchase. Months with no purchase carry the last price. The 6 parts shown are those bought in at least ten of the twelve months, with over $20,000 of spend: one part from each family, the one that rose most, so no single material carries the picture. Across all 67 parts bought in at least seven of those months, the median unit price rose 9.9% and 87% of them rose. Aggregated from the live system’s reconciled line items. Vendors and part numbers removed.

The client runs a metals-heavy supply chain: thousands of vendor invoices a month, hundreds of parts on every order. Oswell & Co. built them a system that reads every invoice to the cent, checks each line against the original quote, and tracks part prices over time. So far it has surfaced over three hundred thousand dollars in overbilling and price increases they had been paying without noticing.

The client

A founder-led marine manufacturer that builds 20,000 to 30,000 parts a month.

They design and build equipment and accessories for OEM boat builders, dealers, and direct to consumers, out of a large in-house injection molding, CNC, welding, and fab operation. To make all of that, they buy constantly: metals, actuators, and specialty materials, from a long list of vendors, on a purchasing operation that runs every single day. Every one of those invoices used to be checked by hand.

Before

Checking invoices by hand doesn’t scale, and it misses things.

At their volume, a 3% overcharge buried in one line of one invoice, three vendors deep, is invisible. Not because anyone is careless, but because no person can line-match thousands of invoices against thousands of quotes every cycle.

Checking invoices by handNo reliable way to catch overbilling or price increases across vendors.
Invoice IntelligenceEvery line checked against the agreed quote, before anything is paid.
Checking invoices by handNo visibility into how any given part’s price moved month to month.
Invoice IntelligencePer-part price history: monthly, plus a year-to-date low, high, and current.
Checking invoices by handFormats varied wildly: clean PDFs, text-layer PDFs, and scanned copier docs with no text at all.

What we built

Invoice Intelligence: a system that reads every vendor invoice to the cent.

Custom-built for their actual vendors and actual formats. The system runs in its own isolated environment that we host and secure, or inside yours if your policies require it. The data is yours, exportable at any time. It reads their whole supply chain: metals and industrial supply, aluminum extrusion, cast marine hardware, fasteners, paint and specialty materials, and actuator components. The vendor list has changed since launch. Suppliers were added and one was retired, and the system absorbed that without a rebuild.

Reads every format
Digital, text-layer, and scanned (OCR) invoices, with no templates to maintain.
Reconciles each invoice to the cent
Every line extracted and checked against the invoice’s own printed total.
Checks each line against the quote
Flags overbilling before the invoice is paid, not after.
Tracks per-part price history
Month over month and as a year-to-date range, so price increases become visible.
Keeps a person in the loop
The operator approves derived prices. Nothing commits without a check.
Holds the edge cases
Per-line reconciliation, and personal information redacted on scanned documents, by default.
How

We worked alongside the finance team and built around the work they actually do.

The multiple reading paths exist because their real vendors demanded them. One vendor’s invoices were losing line items in extraction until reconciliation caught it and we fixed the parser. Another sends copier scans with no text layer, so we built a dedicated OCR path. Every parser reconciles to the cent against the printed total before anything is shown, and the genuine edge cases are held for a person to review, not guessed at.

On top of the money: hours of manual reconciliation come off the finance team’s plate every cycle, and for the first time they can see their spend down to the smallest part.

Latest month, June 2026: $67,701.47 surfaced. 1,000+ vendor invoices processed to date. Recomputed from the live system each time the stats file is refreshed.

“A huge congratulations to Ayden Oswell and the team at Oswell & Co. for developing such an impressive vendor spending and pricing analytics platform. The tool transforms complex purchasing data into clear, actionable insights, making it easy to identify pricing trends, monitor vendor performance, and uncover cost-saving opportunities in real time. It’s intuitive, visually well-designed, and provides the intelligence needed for better procurement decisions. An outstanding example of how great software can simplify complex business challenges.”

Ongoing operation

Still running, and still improving.

Vendors change, formats change, new parts get added. We run the system, monitor it, and keep improving it on a flat annual, so it keeps up instead of going stale the way a one-time build would. They get the outcome without hiring an AI team to maintain it.
